It is summertime again with sunshine for the lucky ones! Why not take advantage of this summer period to finalise your purchases and boost your workspace!
Put your workspace in order: tidy up, throw away and archive!
It is a well-known fact that tidying up is like shopping: it has a relaxing effect! So take advantage of the - somethimes quiet - summer period, to tidy up and clean up. To do this, start by making a filing plan. The main methods are always the same: chronological, alphabetical and thematic filing, but with different time requirements. Always start by asking yourself these questions: do I need to keep this document? If so, for how long? How long must it remain easily accessible before being archived? Then it's time for action!
Tidy up your desk and sort out what's lying around
Store current files in coloured file folders and keep them close at hand on your desk, in sorting racks for example.
Destroy or throw away anything that is no longer in use, including old, dried-up pens!
Archive everything that can be archived.
For example, use archive boxes to store paperwork: name them per project or time period and store them in one place for easier retrieval. All this will free up space in your workplace.
Tidy up your computer
As with paper documents, your electronic files certainly deserve a bit of sorting out too. Delete unnecessary and obsolete folders and provide yourself with hard drives to save your projects. You should also consider tidying up your mailbox by deleting old emails and sorting those to be kept in folders by sender or subject. A little tip: to avoid your mailbox being overflowed when you return, you can suspend your newsletter subscriptions and create automatic rules that will transfer new messages directly into the appropriate folders.
Add a touch of fantasy and personalise your office
In order to be operational and not to get lost between all your files, letters and so on, it is advisable to keep only the essentials within reach on your desk. But that doesn't mean that your desk has to be sterile and empty! On the contrary: personalising it will help you to find your way around and feel good. For example, you can: Add a bit of colour to your desk with pencil trays, staplers, pens...;Put some photos of your family or friends on your desk;Use and abuse green plants: they are beautiful, spring-like and some are even air-purifying;Choose a great desktop background that puts stars in your eyes every time you look at it;Adopt a goldfish... they have a reputation for calming the nerves!
